Frequently asked questions
What's the difference between status and completion?
Status is where a task sits in your flow (Inbox, Planned, Today, Upcoming, Waiting, Blocked). Completion is a separate action that marks the task done. That's why the Board has no "Done" column — completed tasks leave active views and appear in Reporting.
What statuses, priorities, and task types are there?
- Statuses: Inbox, Planned, Today, Upcoming, Waiting, Blocked (active), plus Completed, Cancelled, and Archived.
- Priorities: Urgent, High, Normal, Low.
- Task types: task, subtask, follow-up, approval, reminder, checklist item.
Where do new tasks go? New tasks default to the Inbox status unless you set another status when creating them. Clear the Inbox by giving each task a status, due date, and (optionally) a project.
Why does creating a task in the admin console ask for my password? In the admin console, creating a task is a protected write, so you re-authorize with your password. In the customer workspace, tasks save immediately.
Can customers and my team see the same tasks? Yes. StretchTasks runs in both the admin console and the customer workspace, scoped to your organization. Both surfaces read and write the same task data, so nothing drifts between your team and your clients.
How many views are there? Eleven connected views over one dataset: Dashboard, Board, Planner, List, Priorities, Inbox, Today, Upcoming, Projects, Filters & Labels, and Reporting.
Is my data isolated from other organizations? Yes. Every task is organization-scoped, and every read and write is filtered to your organization. One tenant can never see or change another tenant's tasks.
Troubleshooting
I can't find a task 1. Check the Inbox — new and untriaged tasks live there. 2. In List, clear filters and search by keyword (search matches titles and descriptions). 3. If it was finished, look in Reporting — completed tasks are excluded from active views. 4. If it was cancelled or archived, adjust your status filter to include those states.
A task's due date or reminder is off by a day or hours
This is almost always a timezone issue. Check the default timezone in Settings (for example, America/Edmonton) and, for repeating tasks, the recurrence timezone. Due dates and reminders are interpreted in your workspace timezone.
The Priorities view shows no ranking The prioritization engine is an optional capability an administrator enables. If it's off, you'll see an Engine dormant notice instead of a ranked sequence. Until it's on, use the Board, the Today queue, and priority sorting to triage. If the engine is on but critical path is empty, that just means no dependency chain exists among your active tasks.
AI task extraction returns nothing AI capture is optional and flag-gated. If the feature isn't enabled for your platform (or the AI service isn't ready), it returns no tasks by design. Confirm the feature is on with your administrator, and make sure your note actually contains clear action items.
My reminders aren't arriving 1. Confirm the reminder is enabled on the task and a channel is set (in-app, email, SMS, or messenger). 2. Check the timezone so the reminder time is what you intend. 3. Availability of SMS and messenger depends on platform configuration — if a channel isn't delivering, switch to in-app or email and contact your administrator.
A card won't move on the Board or Planner Drag the card body, not a chip or link on it. If a drag doesn't stick, open the task and change its Status (Board) or Due date (Planner) from the detail panel instead.
A recurring task didn't come back Confirm the task has a recurrence rule (not just a due date) and that the cadence matches what you expect. Recurrence is what recreates the task; a plain due date does not repeat.
My saved view disappeared
Saved filters can be archived. Check the view's status in Filters — archived views can be restored or recreated. Also confirm its visibility: a private view is only visible to you.
Completed count went up but a task left a view That's expected. Completing a task removes it from active views and records it in Reporting, and the completed count reflects it. Your completion behavior setting controls exactly how completed tasks are handled (archive after completion, retain, or remove from active views).
Still stuck?
If something isn't behaving as described here — especially anything involving the Priorities engine, AI capture, or SMS/messenger reminders, which depend on platform configuration — contact your workspace administrator, who can confirm whether those optional capabilities are enabled for your organization.
