Overview
StretchTasks handles the when of your work through three related fields: due dates, reminders, and recurrence. Together they make sure tasks surface at the right time and repeat automatically when they need to.
Due dates
Every task can have a due date (a calendar date, or a specific date and time). Due dates drive the Planner lanes, the Today and Upcoming queues, the overdue counts on your Dashboard, and card highlighting (overdue tasks show in red). Due dates are interpreted in your workspace timezone (set in Settings, e.g. America/Edmonton).
Reminders
A reminder nudges you before or when a task is due. Each reminder has:
- A reminder time — when the nudge fires.
- A channel — how it reaches you: in-app, email, SMS, or messenger.
You can turn reminders on by default for all new tasks in Settings (the default reminders toggle) or add them per task.
Recurrence
For work that comes back on a schedule — a weekly report, a monthly invoice, a daily standup — set a recurrence rule. Recurrence has:
- A repeat rule — the cadence (for example, every week on Monday, or the first of each month).
- A recurrence timezone — so repeats land at the right local time even when your team spans regions.
Steps: schedule a task fully
- Create or open a task.
- Set a Due date (and a time, if the task is time-specific).
- Turn on a Reminder, pick the reminder time, and choose a channel (in-app, email, SMS, or messenger).
- If the task repeats, set a Recurrence rule and confirm the recurrence timezone.
- Save. The task now appears in the right day lane and queue, and will remind you — and repeat — on schedule.
Concrete example
Your team files a status report every Friday at 4pm. You create "File weekly status report," set the due time to Friday 4pm, add an email reminder 2 hours before, and set a weekly recurrence so a fresh task appears every Friday. Now you get an email nudge at 2pm every Friday, the task sits in the Planner's Today lane on Fridays, and you never have to recreate it.
Tips
- Set your workspace timezone correctly first — it's what "due today" and reminder times are measured against.
- Use the channel that fits urgency: in-app for routine nudges, SMS or messenger for time-critical reminders.
- For recurring work, let recurrence do the recreating instead of copying tasks by hand.
Troubleshooting
- My reminder fired at the wrong time. The most common cause is a timezone mismatch — check the default timezone in Settings and the task's recurrence timezone.
- A recurring task didn't come back. Confirm the task has a recurrence rule set (not just a due date) and that the rule's cadence matches what you expect.
- I'm not getting email/SMS reminders. Confirm the reminder channel is set to that method and that reminders are enabled. Availability of SMS and messenger channels depends on your platform configuration — if a channel isn't delivering, switch to in-app or email and contact your administrator.
