Overview
Everything in StretchTasks starts with a task. This guide covers creating a task with its full set of fields and organizing it so it's easy to find and act on later.
Anatomy of a task
A task can carry all of the following:
- Title (required) — a short, action-oriented name.
- Description — details, context, links, or acceptance criteria.
- Status —
Inbox,Planned,Today,Upcoming,Waiting, orBlocked. - Priority —
Urgent,High,Normal, orLow. - Task type —
task,subtask,follow-up,approval,reminder, orchecklist item. - Due date — a calendar date (or date-time) the task is due.
- Reminder — a reminder time plus a channel (in-app, email, SMS, or messenger).
- Recurrence — a repeat rule and timezone for tasks that come back on a schedule.
- Assignee — the person responsible (name and email).
- Labels — lightweight tags for slicing.
- Checklist — a list of sub-items to tick off inside the task.
- Project & section — where the task lives in your structure.
Steps: create a task
1. Click New task (top right of any view).
2. Enter a Title — keep it a verb phrase, e.g. "Draft onboarding email."
3. Add a Description with the detail someone would need to do it.
4. Set the Status. Leave it on Inbox to triage later, or set Today/Planned if you already know when it belongs.
5. Set the Priority. Reserve Urgent for genuinely time-critical work.
6. Pick a Task type if it's more than a plain task (for example, approval for a sign-off).
7. Choose a Due date, and optionally a Reminder time and channel.
8. Assign it to a person if someone else owns it.
9. Add Labels and, if it belongs to one, a Project and Section.
10. Add checklist items for any sub-steps.
11. Click Create task.
> In the admin console this is a protected write and prompts for your password; in the customer workspace it saves immediately.
Steps: organize existing tasks
- Open List to see everything in one table.
- Use search and filters to find the tasks you want to reorganize.
- Open a task and set or change its Project, Section, Labels, and Status.
- Use the Board or Planner to drag tasks into the right status or day.
- Group recurring themes into a Project so related tasks stay together.
Example
You're preparing a client launch. You create a project called "Acme Launch" with sections Content, Design, and Go-live. Then you add tasks: "Write launch announcement" (type task, priority High, section Content, due Friday), "Legal sign-off on copy" (type approval, priority Urgent, section Content), and "Publish landing page" (type task, section Go-live, with a checklist of QA steps). Each task carries a label #launch, so later you can pull up everything launch-related with one saved filter.
Tips
- Write titles as actions ("Send…", "Draft…", "Review…") so a glance tells you what to do.
- Use checklists inside a task for sub-steps you don't need to track as separate tasks.
- Reach for Projects when a set of tasks shares a goal, and Labels when a theme cuts across many projects (like
#urgent-clientor#billing). - Only mark something
BlockedorWaitingwhen it truly is — those statuses feed the Priorities engine's blocker analysis.
Troubleshooting
- My task didn't save. A title is required. If the create button is disabled, check the title field. In the admin console, also confirm you completed the password re-authorization prompt.
- The task isn't where I expected. New tasks default to
Inboxunless you set another status. Check the Inbox view, or the status you assigned. - I can't set an assignee's org or owner from the workspace. The customer workspace deliberately keeps tasks within your own organization — you can assign a person, but cross-organization owner fields are set by your team on the admin side.
