Capturing Tasks with AI from Notes and Meetings

Turn a free-form note or meeting transcript into structured tasks with one action using StretchTasks' AI extraction.

Overview

StretchTasks can read a block of free-form text — meeting notes, a transcript, an email, a brain dump — and pull out the actionable tasks for you, complete with suggested titles, due dates, priorities, and projects. This turns "I'll write these up later" into a one-step capture.

AI extraction is an optional, flag-gated capability. If it hasn't been enabled for your platform (or the AI service isn't ready), the feature simply returns no tasks and StretchTasks is otherwise unchanged — nothing is created without the feature turned on.

What it does

You provide text; the AI returns a list of proposed tasks. For each one it suggests:

  • A short title — the action to take.
  • A due — an ISO date or natural-language timeframe if the text implies one (empty if none).
  • A priority — low, medium, or high.
  • A project — a suggested grouping, if the text points to one.

The result is a set of proposals, not silently-created tasks — you review them before they become real tasks in your workspace. The extraction reads only the text you give it; it doesn't pull from your stored data.

Steps: extract tasks from a note

  1. Open the AI capture action in StretchTasks (for example, the Extract tasks option).
  2. Paste your note or transcript into the text box.
  3. Run the extraction. StretchTasks returns a list of proposed tasks with titles, due dates, priorities, and projects.
  4. Review each proposal — edit the title, adjust the due date, set the right priority, and confirm the project.
  5. Keep the tasks you want and discard the rest. Confirmed tasks are created in your workspace like any other task (defaulting to your Inbox for triage).

Concrete example

After a client kickoff you paste your rough notes:

"Acme wants the new landing page live before their event on the 20th. Need legal to approve the copy first — that's urgent. Also send them the invoice for the deposit this week, and someone should book the follow-up call."

The extraction returns four proposals: "Launch new landing page" (due the 20th, high), "Get legal approval on copy" (high), "Send deposit invoice" (due this week, medium), and "Book follow-up call" (medium). You tweak the titles, add them all to an Acme project, and confirm — four tasks captured in seconds instead of typing them one by one.

Tips

  • Give the AI clear, complete text — the more context in the note, the better the titles and due dates.
  • Always review before confirming; treat the output as a smart first draft, not final tasks.
  • Great sources include meeting transcripts (from your suite's meeting app), email threads, and quick voice-to-text brain dumps.

Troubleshooting

  • The extractor returned no tasks. Two common reasons: the text had no clear action items, or the AI feature isn't enabled for your platform. If the note clearly contains tasks and you still get nothing, the capability may be turned off — ask your administrator.
  • The suggested due dates are wrong. The AI infers dates from the text. Edit any date during review before confirming.
  • It missed a task. Add it manually with New task — AI capture is additive, not a replacement for creating tasks yourself.
