Turning Notes into Events with AI

StretchSchedule includes an AI helper that reads free-form text and pulls out the events hiding inside it. Instead of manually creating each meeting, you paste a note and get structured events back.

What it does

Give the AI a block of natural-language text — meeting notes, an email, a to-do list — and it returns a list of events, each with:

• A title (what the event is).
• A start time (an ISO datetime or natural language; blank if it can't tell).
• An end time.
• An optional location.
• A list of attendees.

For example, the text "lunch with Sam Tue 1pm, standup daily 9am, kickoff with Acme Thursday 3-4pm in the boardroom" becomes three structured events with titles, times, an attendee (Sam), and a location (the boardroom).

How to use it

1. Open the AI extraction helper in StretchSchedule.
2. Paste or type the text that contains your events.
3. Run the extraction.
4. Review the structured events it returns and use them as the basis for bookings or calendar entries.

The feature is fail-safe and additive: it never changes your calendar on its own. It hands you structured events to review — you stay in control of what actually gets booked.

When it's most useful

• Turning meeting notes into follow-ups — paste the recap and pull out the "let's meet next Tuesday" lines.
• Migrating a list — convert a plain-text list of appointments into structured events.
• Parsing an email — extract the times and attendees a client mentioned in a long message.

A realistic example

After a planning session, a manager pastes their scribbled notes:

"Sync with design Mon 10am, 1:1 with Priya Wed 2pm for 30 min, vendor call Friday morning, sprint review Thu 4pm with the whole team."

The AI returns four events: a design sync (Mon 10:00), a 1:1 with Priya (Wed 14:00, 30 min), a vendor call (Friday morning — start left approximate), and a sprint review (Thu 16:00, attendees: the team). The manager reviews them and books the ones that need a formal slot.

Availability of the feature

AI extraction is powered by StretchSuite's shared AI layer and is flag-gated — it's available when your workspace has the feature enabled and the AI service is ready. If it's turned off or unavailable, the app simply returns no events (it never errors out or blocks your work), so the rest of StretchSchedule is unaffected.

Tips

• Give clear time cues ("Tue 1pm", "Thursday 3-4pm") — the more explicit the text, the better the extraction.
• Include names for attendees so they're captured on the event.
• Always review the results. The AI proposes; you decide what becomes a booking.
• Paste one topic at a time for cleaner results if you have a very long document.

FAQ

Does the AI create bookings automatically? No. It returns structured events for you to review — nothing is scheduled without your action.

What if a time is vague? The AI leaves the start/end blank or approximate rather than guessing a precise time.

Why did I get no events back? Either the feature isn't enabled for your workspace, the AI service is momentarily unavailable, or the text contained no recognizable events. In all cases the app fails safe and returns nothing.

Troubleshooting

• The helper isn't available. AI extraction is flag-gated; ask your workspace administrator whether it's enabled.
• It missed an event. Rephrase with an explicit day and time and try again — vague phrasing ("sometime next week") is intentionally left approximate.
• Attendees weren't captured. Include names near the meeting mention ("call with Sam") so the model can associate them.
