Templates, Collaboration, and Customer Linking

Speed up item creation with reusable templates, discuss work with per-item collaboration, and link items to customer records.

Overview

StretchProjects items are more than a title and a status. From an item you can apply reusable templates, hold a collaboration thread, and link the work to a customer. These features live in the New item form and the item detail panel and turn a card into a small workspace of its own.

Reuse setups with templates

Templates pre-fill an item's fields so recurring work is one click instead of a full form.

  1. Open the New item form (or an existing item's detail panel).
  2. In the Templates section, click a saved template to apply it — the title, description, type, status, priority, owner, assignees, labels, and dates fill in.
  3. Adjust anything you like, then save.
  4. To create a template, set up the fields you want and use the templates control to save the current values as a reusable template.

Example

A team that ships blog pages saves a "Content page" template with Type = content, Priority = Medium, and labels content, public. Every new page starts from it, so nobody forgets the standard labels or the type. When they later start doing landing pages, they save a second "Landing page" template with different defaults.

Tip: Templates are scoped to the StretchProjects app, so the same set is available whether you're creating from the board toolbar or from a column's + button.

Collaborate on an item

  1. Click a card to open its detail panel.
  2. In the Collaboration section (available once the item is saved and has an ID), add comments and updates tied to that specific item.
  3. Field changes you make — edits, reassignments, moves — are also written to the item's activity, so the thread is a full history, not just chat.

Keeping the conversation on the card means the context, the decision, and the record all live in one place instead of scattered across email and chat.

  1. Open the item's detail panel.
  2. Use the Customer selector to associate the item with a customer record.
  3. The link is saved with the item, connecting delivery work to the account it's for.

Customer linking is what makes StretchProjects part of the suite rather than an island — the work you plan here points back at the same customers you manage elsewhere. Combined with an item's related app and related brand fields, you get a clear line from a card to the account and product it serves.

Note: Customer linking and collaboration require a saved item — they need the item's ID. Create the item first; if you open a brand-new unsaved item, you'll see a prompt that these features become available after saving.

Putting it together

A typical flow uses all three: you start a card from a template so it's pre-filled to your standard, link it to the customer it's for, and use the collaboration thread to align with the team as the work moves through stages — all without leaving the card.

Tips

  • Build a small library of templates for your most common item types (content, bug, ops task) and your whole team starts from the same baseline.
  • Save a template after you've filled in the ideal example — the current field values become the template.
  • Link the customer as soon as an item is created so reporting by account is accurate from day one.
  • Use collaboration for decisions and context; use the description for the durable brief.

Troubleshooting

Customer linking and collaboration are greyed out.
They require a saved item ID. Create and save the item first; the selectors activate once the item exists. A brand-new unsaved item shows a prompt to that effect.

A template didn't fill in every field.
Templates pre-fill the standard fields (title, description, type, status, priority, owner, assignees, labels, dates). Anything not stored in the template stays blank for you to complete.

I applied a template and want to change a value.
Applying a template just fills the form — edit any field afterward before saving. The template isn't locked to the item.
