What's the difference between a Board, a Project, and a Task?

A Board is a Kanban of stage columns holding items (cards) that move through delivery. A Project (Projects tab) is a tracked deliverable made of sections and tasks. Tasks are the individual to-dos that appear in the Today / Upcoming / Completed queues and roll up into projects. Boards are for flow; projects and tasks are for structured deliverables and scheduling. They're often the same work viewed through different lenses.

How many stages does a board have?

A new workspace project board has five: Backlog → Planned → In Progress → Review → Released. The internal master Roadmap board extends this to eight by adding Ready, Blocked, and Deferred. Stages are provisioned automatically when a board is created.

How do I get a card into a specific stage without dragging?

Use the Move to stage dropdown on the card, or open the card and change its Column / status field. Both run the same authorized move as drag-and-drop and are the accessible, keyboard-friendly path. New cards created without a chosen stage default to Planned.

Why did my card's status change when I moved it?

By design. A card's status is kept in sync with the column it's in, so moving a card to Review sets its status to review. This keeps the dashboard counts accurate. You can set a different status explicitly if you need one that doesn't match the stage name.

What are the KB, Ops Doc, and Changelog chips on a card?

They're documentation flags: KB means a public knowledge-base article is required, Ops Doc means an internal operations doc is required, and Changelog means the change must be logged for release. They roll up into the dashboard's Docs required and Changelog required counts so delivery standards travel with the work. See Documentation Flags and Delivery Standards.

Can another organization see my boards or activity?

No. Everything on the workspace surface is scoped to your organization and hard-filtered on every read and write. Your boards, items, and activity feed are private to your team.

Why does a view show a "Read-only — pending step-up authorization" banner instead of my data?

That banner is the security gate on the admin surface, not a failure. The endpoints and views are wired and verified — data populates once read access is granted to your session. See The Admin Surface and Step-Up Authorization.

Why am I asked for my admin password when I move, create, or edit an item?

On the admin surface, writes are protected. Re-entering your admin password mints a short-lived, single-purpose action token to authorize just that action; the token is never stored. On the workspace/client surface, writes are authorized through your signed-in session, so you won't see the password prompt.

Troubleshooting

I dragged a card but it snapped back to its original column

The move couldn't be saved, so StretchProjects reverted it and showed a message explaining why. Common causes: the authorization was cancelled or mistyped (admin surface), or a network error. Try the move again and complete any authorization prompt.

My new item didn't appear on the board

  1. Confirm you set a Title — it's required and the Create button stays disabled without one.
  2. Check the Column / status you chose; the card lands in that stage, which may not be the one you're viewing (new cards default to Planned).
  3. On the admin surface, make sure you completed the password authorization step — an unconfirmed write won't save.
  4. Click Refresh to resync the board.

A tab is stuck on "Loading…"

  1. Give it a moment — the dashboard pulls boards, roadmap, activity, projects, and the task overview together.
  2. On a board, click Refresh to re-pull from the server.
  3. Switch to another tab and back to re-trigger the load.
  4. If it persists, a data source may be temporarily unavailable; check the dashboard for an error banner naming the failing area.

Customer linking and collaboration are greyed out on an item

These require a saved item ID. Create and save the item first; the selectors activate once the item exists. A brand-new unsaved item shows a prompt to that effect.

The Labels tab says labels aren't populated yet

That's a soft note, not an error. Labels are managed in StretchTasks; once you create them there, they list on the Labels tab automatically.

A task isn't showing in Today or Upcoming

Those queues are driven by a task's due date. An item with no due date won't appear — open it and set one. Overdue items surface via the dashboard's Overdue count.

A duplicate board appeared (or a new board looks like an old one)

StretchProjects protects against duplicate board names: creating a board whose title matches an existing one (ignoring case and extra spaces) reuses that board instead of duplicating it. Give the board a distinct name if you truly need a separate one.

Tip: After any create, edit, or move, watch for the confirmation banner at the top of the board — green for success, red with the reason on failure. It tells you exactly what the server did.
