A plain-language reference for every StretchProjects term — boards, stages, items, events, projects, tasks, priorities, flags, visibility, and tenancy.

Why this glossary

StretchProjects has a small, consistent vocabulary. Learn these terms once and the rest of the app — and the rest of this help center — reads clearly. Terms are grouped from the biggest container down to the smallest detail.

Containers

Board A board is a container for a set of work. Each board has a title, an optional description, an owner, a set of labels, and a visibility (see below). A board holds ordered columns, and each column holds items. Your workspace can have many boards; there is also a master Roadmap board for the broadest planning view.

Column (stage) A column, also called a stage, is a phase work passes through on a board. Columns are ordered left to right and each has a key (like in-progress) and a display title (like In Progress). New workspace project boards are provisioned with five stages — Backlog, Planned, In Progress, Review, Released — while the internal master roadmap adds Ready, Blocked, and Deferred.

Project A project (Projects tab) is a tracked deliverable made of sections and tasks. Where a board is about flow, a project is about structure — it rolls tasks up into a named deliverable with its own key and status.

The unit of work

Item (card) An item — shown on the board as a card — is a single piece of work. It is the most detailed object in StretchProjects and carries many fields:

  • Title — the name of the work (required).
  • Short description / description — a summary and full detail.
  • Item type — a category such as task, docs, content, admin, or workspace.
  • PriorityLow, Medium, High, or Critical.
  • Status — the item's state; it normally mirrors the column the card sits in.
  • Owner and assignees — who is accountable and who is working on it.
  • Datesstart, due, and target-release dates.
  • Labels — free-form tags for filtering and grouping.
  • Dependencies — other items this one waits on.
  • Documentation flags — KB, Ops Doc, Changelog (below).
  • Related app / related brand — links the work to a suite app or brand.

Task A task is an individual to-do that appears in the Today, Upcoming, and Completed queues and can roll up into a project. Tasks are for scheduling and daily execution; items are for board flow. In practice they describe the same work seen through different lenses.

Signals and standards

Priority Priority ranks urgency: Critical (highest) → HighMediumLow. High and Critical items feed the dashboard's High priority count and are visually flagged.

Documentation flags Three booleans mark delivery standards on an item:

  • KB — a public knowledge-base article is required.
  • Ops Doc — an internal operations doc is required.
  • Changelog — the change must be logged for release.

They roll up into the dashboard's Docs required and Changelog required counts.

Label A label is a color-coded tag used to categorize work. Labels are managed in StretchTasks and list on the Labels tab.

History

Activity event An event is a timestamped record of something that happened to an item — it was created, updated, or moved. Move events also record the from/to columns. Events form a per-item timeline and feed the dashboard's Recent activity feed.

Access and privacy

Visibility A board's visibility marks who it is for — internal (agency-owned) or workspace (client-facing). Items also carry a client-visible attribute that governs whether an individual card is exposed to a client view.

Organization (tenancy) An organization is your tenant. Every board, column, item, and event on the workspace surface is scoped to one organization. Reads and writes are hard-filtered by organization, so one tenant can never see another's data.

Surface A surface is the app context you're in. The workspace surface is client-facing and session-authorized; the admin surface is agency-facing and requires step-up authorization for writes.

Example

A card titled "Rebuild pricing page" is an item of type content, at High priority, sitting in the In Progress column of the "Q3 Marketing Site" board in your organization. It has a KB documentation flag, a due date next Friday, and a dependency on "Finalize pricing." Dragging it to Review creates a moved event in its timeline.

Tips

  • When a doc or teammate says "stage," they mean a column; the two words are interchangeable.
  • If you're unsure whether to make something an item or a task, use an item on a board for anything that flows through stages, and let its scheduling show up in the task queues.
  • Status and column usually match — moving a card is the normal way to change its status.
