Getting Started with StretchDocs

Learn the core concepts behind StretchDocs and create, write, and publish your first governed document.

What is StretchDocs?

StretchDocs is the document workspace inside StretchSuite. It is where your team writes and manages business documents — standard operating procedures (SOPs), specs, meeting notes, project handoffs, policies, and more — in one governed place.

Unlike loose files scattered across drives, every StretchDocs document carries structured information with it: a status, a folder, an owner, a version number, and a live word count. That means you always know whether a document is a draft or published, who is responsible for it, and which lane of work it belongs to.

Key concepts

  • Document — a single writing surface with a title, body, and governance metadata. You create, edit, and open documents from the Library.
  • Status — every document is one of four states: Draft, Review, Published, or Archived. Status travels with the document and drives dashboards and filters.
  • Folder — a simple grouping label (for example, General, Operations, Client Onboarding) that organizes documents into operating lanes.
  • Owner — the person accountable for the document. It is separate from whoever last edited it.
  • Version — StretchDocs increments a version number every time content is saved, so you always know how current a document is.
  • Template — a reusable, controlled starting point (SOP, Product Spec, Client Handoff, Meeting Notes) so documents begin consistent instead of from a blank page.
  • Document Intelligence — an optional analysis layer that scores structure and readability, extracts a summary, and pulls out keywords.

The dashboard

When you open StretchDocs, the dashboard (overview) gives you a live read on your document estate: total documents, how many are drafts, how many are published, how many folders you use, your total word count, and your most recently updated documents. It also surfaces the available templates so you can start a new document in a click. Use it as your home base — it always reflects only your own organization's documents.

Create your first document

  1. Open StretchDocs from the StretchSuite app launcher.
  2. Click New document. You can start from a blank document or pick a template.
  3. Give the document a title (up to 180 characters). If you skip it, StretchDocs names it Untitled document.
  4. Set the starting folder (defaults to General), the owner, and the document type (for example, SOP, Spec, Meeting Notes).
  5. Click Create. The document opens in the editor at version 1 with a Draft status.

Write and save

  1. Type directly into the editor. Formatting such as headings, lists, and quotes is supported.
  2. StretchDocs saves your work and bumps the version number each time content is committed. The word count updates automatically as you write.
  3. The footer shows who last saved the document and when.

Move a document through its lifecycle

  1. While drafting, leave the status as Draft.
  2. When it's ready for feedback, set the status to Review and invite reviewers to leave comments and suggestions.
  3. Once approved, set the status to Published. Published documents are your source of truth.
  4. When a document is retired, set it to Archived — it leaves your active lists but is never permanently destroyed.

A realistic example

Maya on the operations team needs a documented refund procedure. She clicks New document, chooses the SOP Template, and titles it Refund Handling SOP. She sets the folder to Operations, makes herself the owner, and fills in the steps. She sets the status to Review and her manager leaves two suggestions; Maya accepts both. She flips the status to Published, and the refund SOP now appears in the Operations folder at version 6, visible to her whole organization.

Tips

  • Set the owner at creation time — an unowned document is an orphaned document.
  • Use status deliberately. A document stuck in Draft for weeks is a signal it needs a decision.
  • Give documents descriptive titles; the title drives search across the suite.
  • Start from a template whenever one fits — it saves time and keeps structure consistent.

FAQ

Can other people see my document? Only members of your organization who have access to the Docs app. See Workspace Access and Permissions.

Do I have to save manually? No — StretchDocs commits your content and versions it as you work. You can also capture deliberate snapshots before major changes.

What happens when I delete a document? It is archived (soft-deleted), not destroyed. You can restore it by changing its status back to Draft or Published.
