StretchBooks — accounting for your whole business

StretchBooks is the accounting app inside StretchSuite — the suite's answer to QuickBooks. It runs the money side of your business in one place: quoting work, billing customers, collecting payments, tracking what you spend, and seeing where you stand at any moment. Everything you create lives inside your own organization's books, so what you see is always your data and only your data.
Who it's for
StretchBooks is built for owner-operators, service businesses, agencies, coaches, consultants, and small finance teams who want a single tool for the full billing cycle without wiring together spreadsheets and a separate accounting package. If you send quotes and invoices, pay vendors, log expenses, and need to file GST/HST, StretchBooks covers the day-to-day and the month-end.
What it does
StretchBooks organizes the whole money cycle into tabs across the top of the app — Dashboard, Reports, Invoices, Estimates, Customers, Vendors, Expenses, Bills, Payments, Transactions, and Chart of Accounts — plus a Settings area.
- Sales (getting paid). Build estimates and invoices from tax-aware line items — each line is a description, quantity, unit price, and an optional tax code, and StretchBooks does the tax and total math for you. Send an estimate, convert it to an invoice in one click, send the invoice, and record payments against it. When your operator turns on online payments, customers can pay an invoice balance by card through secure Stripe Checkout.
- Purchasing (what you owe). Keep vendor profiles, log expenses against a chart-of-accounts expense account (with an optional receipt), and enter vendor bills with line items and due dates so they show up as payables.
- Customers & vendors. Reusable profiles that carry billing email, payment terms, currency, tax number, and addresses — and can link back to your StretchCRM contact.
- Accounting backbone. A chart of accounts (assets, liabilities, equity, revenue, expenses), a posted-transactions ledger, and tax codes built Canada-first (GST 5%, HST, exempt/zero-rated) that drive every calculation.
- Reports & insight. A live Dashboard of receivables, payables, invoiced totals, and expenses, plus Reports: Profit & Loss, Tax Summary (GST/HST return prep), and A/R and A/P aging.
- Finance Intelligence. A read-only intelligence layer that summarizes cash flow, receivables, payables, and tax, and previews forecasting and risk-scoring signals — with human approval required and no automatic money movement.
- AI document capture. When enabled, snap a photo of a receipt, invoice, or bill and StretchBooks reads the vendor, date, amounts, and line items to pre-fill a record.
Key ideas that make it click
- Line items do the math. You never type a total by hand — enter quantity × unit price and pick a tax code, and StretchBooks calculates line tax, subtotal, tax, and grand total.
- Documents have a lifecycle. Invoices move Draft → Sent → Paid (and can be Void or written off); estimates go Draft → Sent → Converted.
- Money is precise and multi-currency. Amounts are stored to the cent and shown in your currency, defaulting to CAD. You can set a different currency per customer, vendor, or document.
- Numbers are automatic. Invoices and estimates are numbered from a prefix plus a running counter you control in Settings (for example
INV-1042). - Everything is org-scoped. Your books are isolated to your organization; there's no way to see or touch another organization's records.
How it fits the suite
StretchBooks doesn't work alone. It reads context from StretchCRM (deals and customer relationships), StretchContracts (signed contract values and renewals), and StretchAnalytics (activity events) to power its Finance Intelligence summaries, and it's designed to pull receipts and attachments from StretchFiles. Because it shares the StretchSuite identity and organization model, the customer you manage in CRM and bill in StretchBooks are the same business — no duplicate data entry, no reconciliation between disconnected tools.
