Creating and Managing Report Views

Save named report configurations you can reuse, update, reorder, pause, and archive.

What a report view is

A report view is a saved configuration in StretchAnalytics — a title, a description, the metrics it tracks, a type, visibility, sort order, and a settings payload. Report views turn a one-off question into a reusable asset: instead of rebuilding an Explore query or remembering which KPIs matter, you open the saved report. Dashboards and scheduled email exports are specialized kinds of report views, so learning reports teaches you the whole family.

Anatomy of a report view

  • title — the report's name (required).
  • description — what it's for.
  • report_type — the kind of report (for example dashboard, custom_dashboard, or scheduled_email_export).
  • metric_keys — the metrics the report tracks (up to 30).
  • statusactive, paused, or archived.
  • visibility — who the report is intended for.
  • sort_order — where it appears in lists (lower sorts first).
  • settings_json — a structured payload for report-specific configuration.

Step-by-step: create a report view

  1. Open StretchAnalytics and go to Reports.
  2. Choose New report.
  3. Enter a title (required) and a description.
  4. Select the metrics the report should track.
  5. Optionally set a sort order so it lands where you want in the list.
  6. Save. The report is created with status active and appears in your reports list.

Step-by-step: update a report view

  1. Open the report from your list.
  2. Choose Edit.
  3. Change the title, description, tracked metrics, type, visibility, or sort order.
  4. Save. Only the fields you change are updated; the rest are preserved.

Step-by-step: pause, reorder, or archive

  1. Pause — set status to paused to keep the report but mark it inactive.
  2. Reorder — change sort_order; lower numbers appear first.
  3. Archive — archive the report to remove it from active lists. Archiving is a soft delete: the report is hidden, not destroyed.

Example

A founder wants a weekly "State of the business" report. She creates a report view titled exactly that, tracking platform_total_events, form_submissions, crm_deals, books_invoices, and open_support_tickets, sets sort order to 1 so it tops the list, and saves. Each Friday she opens it in one click. When a metric stops being relevant, she edits the report rather than starting over; when a seasonal report ends, she archives it instead of deleting it.

Tips

  • Give reports descriptive titles — "Weekly growth" beats "Report 3."
  • Use sort_order to float your most-used reports to the top.
  • Pause reports you'll want back soon; archive ones you're done with. Both are reversible.
  • Keep a report's metric set focused — a report that tracks everything tracks nothing.
  • Reports track up to 30 metrics; if you need more, split into two reports.

Troubleshooting

"Report title is required." Every report needs a non-empty title. Add one and save.

"The requested report view was not found." The report may have been archived, or you're trying to edit one that doesn't belong to your organization. Refresh your reports list.

An archived report is gone. Archiving hides reports from active lists by design. It's a soft delete — contact your administrator if you need to review archived reports.
