The one idea behind everything
Almost every question people have about "why is my data different?" comes down to a single concept: workspace context. At any moment, exactly one organization is active, and everything the workspace shows you — apps, records, sites, billing, support — is scoped to that active organization. Change the active organization, and the same login shows an entirely different set of data.
Getting comfortable with this makes the whole platform predictable.
Where context comes from
- You sign in. Your session establishes who you are and which organizations you're a member of.
- An organization becomes active. If you belong to one, it's chosen for you. If you belong to several, you pick one on the Select a workspace screen.
- The workspace remembers it. Your active organization is stored with your session, which is why data stays consistent as you move between apps.
- You can change it. Switching workspaces (via the sidebar footer icon) changes which organization is active — and therefore what you see.
What context scopes
When an organization is active, it scopes:
- Which apps you can open — entitlements are per organization, so the same person can be on Pro in one workspace and Agency in another.
- All app data — contacts, invoices, bookings, files, campaigns, sites, and more belong to the active organization.
- Billing and plan — each organization has its own plan and invoices.
- Support and services — a request you file already knows which organization it's for.
- Your role and permissions — you might be an admin in one workspace and a limited member in another.
Why the same login shows different things
Because context is per organization, two people are both correct when one says "I see 26 apps" and another says "I see 12" — they're in different workspaces, or on different plans. Likewise, if you see different numbers than yesterday, the most likely explanation is that a different organization is active now.
A quick example
Maria's login belongs to Payne Coaching (Agency plan) and Maria Studio (Core plan). When Payne Coaching is active, she sees the full Agency app set, Payne's clients in CRM, and Payne's invoices in Billing. She switches to Maria Studio, and the same login now shows the smaller Core app set, her own clients, and her own billing. Nothing moved — only the active context changed. When she files a support ticket while in Maria Studio, it's automatically tied to Maria Studio, not Payne Coaching.
Tips
- "Missing" data is usually a context problem, not a data-loss problem. Before worrying, check which organization is active.
- Entitlements are contextual. An app can be Locked in one of your workspaces and Open in another — same login, different plan.
- Context follows your session, not the app. Moving between apps never changes the active organization; only switching workspaces does.
FAQ
"Can I see two organizations at once?" No — one organization is active at a time. To work in another, switch to it. Data never mixes across organizations.
"If I switch workspaces, do I lose my place in the first one?" No. Switching just changes what's shown. Your data in the other organization is untouched and waiting when you switch back.
"Why can't I create an account or add myself to a workspace directly?" Membership is approval-gated by administrators, precisely so that context (and the data inside it) stays protected. You join a workspace by being approved into it, not by self-serve.
"Support asked for my organization ID — where is it?" On the Dashboard, in the hero panel. It uniquely identifies the active organization, which helps support look at exactly the right context.
