Invite and manage team members

Use the Team & Access screen to invite teammates by email, set their role, change roles later, and remove people who no longer need access.

Where team management happens

Owners and admins manage their organization's roster on the Team & Access screen at /team. From here you invite people, set and change roles, control which apps members can open, and remove access. Members don't see management controls — only owners and admins can govern the team.

This article covers inviting people, roles, and removal. For the fine-grained "which apps can this member open" controls, see Control per-app access for members — it shares this same screen.

Steps: invite a teammate

  1. Open /team.
  2. In the invite form at the top, enter the person's Email (for example, client@example.com).
  3. Choose a Role from the dropdown: member, admin, or owner. Default to member unless they need to manage the team (see Roles: owner, admin, and member explained).
  4. Select Invite. The person is added to the organization's member list, and you'll see a confirmation.
  5. The invited person uses their StretchSuite account (the one on that email) to access the organization. If they don't have an account yet, they register with that exact email so the membership attaches correctly.

Invite people by the email their StretchSuite account uses (or will use). Mismatched emails are the most common reason someone "was invited" but can't find the workspace.

Steps: change someone's role

  1. On /team, find the member in the list — each has their name (or email) and a role dropdown.
  2. Change the dropdown to the new role (member, admin, or owner).
  3. Select Save access (the save icon) on that member's card to apply the change.
  4. Remember: promoting someone to admin or owner grants them full access to all apps, overriding any granular per-app grants they had as a member.

Steps: remove a member

  1. On /team, locate the member.
  2. Select Remove member (the trash icon) on their card.
  3. The member is removed from the organization. Their org-scoped access ends — they can no longer resolve this workspace. Their personal account and any other organization memberships are unaffected.

Realistic example

Cedar Consulting hires a contractor, Ana, for a three-month project. The admin, Marcus, opens /team, enters ana@contractor.dev, sets the role to member, and selects Invite. Ana registers with that email, verifies, and appears in Cedar's workspace as a member. Marcus grants her just the two apps she needs. When the contract ends, Marcus opens /team, finds Ana, and selects Remove member. Ana instantly loses access to Cedar's workspace, but her own StretchSuite account — and her membership in her other clients' organizations — stays intact.

Tips

  • Invite with the exact email. If someone was invited but can't see the workspace, first check that the invite email matches the email on their account.
  • Start people as members. It's easy to promote later; over-granting owner/admin from the start is harder to walk back and weakens your access controls.
  • Save after every change. Role and access edits apply when you select Save access on that member's card — don't navigate away expecting an unsaved change to stick.
  • Remove promptly when someone leaves. Removing a member is the clean way to revoke all of their access at once.

Troubleshooting

  • "Unable to invite member." Check the email is valid and that you have owner/admin rights in this organization. Members can't invite.
  • The invited person can't find the workspace. They likely registered (or you invited) under a different email. Confirm the address on both sides; re-invite with the correct one if needed.
  • A role change didn't take effect. Make sure you selected Save access on that member's card after changing the dropdown.
  • You can't see the Team & Access controls at all. You're probably a member in this organization. Only owners and admins manage the team; ask an admin to make the change.

FAQ

Does inviting someone create their account for them? No. Invitation attaches a membership to the account on that email. If they don't have an account, they register with the same email and the membership connects.

Can I invite someone to more than one organization? Yes, if you're an owner/admin in each. Their single account will hold both memberships, each with its own role and app access.

What happens to a member's data when I remove them? Removal ends their access to the organization. Work that belongs to the organization stays with the organization; the person simply can no longer reach it.
